Managing orders

Orders is the main operations workspace. Table and Kanban share the same projected collection, so search, filters, real-time updates, and detail remain synchronized.

The top-right selector remembers the chosen view in that browser.

Activity summary​

The header shows Loaded, Waiting, In process, Completed, and the last update time. These counters summarize the loaded collection even when filters hide rows.

Search and filters​

Search recognizes order, customer, phone, and product. Filters combine visible statuses, Pickup/Delivery, payment method, start/end dates, and minimum/maximum totals.

By default, On hold, In process, Completed, and Canceled are visible. Enable Payment pending, Accepted, Shipped, Finalized, Refunded, Failed, or other statuses in the filter panel.

Table workflow​

  • Use status tabs to narrow the list.
  • Select a column header to sort.
  • Choose 10, 20, or 50 rows per page.
  • Open View detail from the last column.

On mobile, the table scrolls horizontally to preserve all columns.

Kanban workflow​

Each column shows order count and total value. On desktop, drag a card to an allowed state. On any device, use its quick action.

Allowed transitions are:

  • On hold or Payment pending → In process or Canceled.
  • In process → Completed or Canceled.

Other statuses remain available for review without forcing unsupported WooCommerce transitions.

Order detail​

The dialog includes customer, Pickup/Delivery, products, variations, extras, customer and internal notes, subtotal, discount, taxes, fees/tip, total, payment, and status. It also supports printing, adding a note, and the next valid action.

Incoming orders​

NOTIWOO performs an initial sync, listens to real-time webhooks, and maintains a periodic fallback poll. A new order triggers the visual alert, configured sound, both views, and—when enabled—automatic printing.

Visible history

The operations workspace loads at most the 200 most recent order events and filters them in the browser. Use WooCommerce for an older order.

When an update fails​

The UI updates optimistically. If WooCommerce rejects the operation, NOTIWOO shows a notice and restores the previous status. Read the message before trying again.
