Manage orders
The Orders screen is the heart of NOTIWOO. Here you see everything coming into your store in real time.
The orders list
Each row is one order and shows:
- Order ID
- Shipping type (Pickup or Delivery)
- Customer name
- Order date
- Payment method (Cash, Transfer, Cheque, Card terminal, Test payment…)
- Status
- A View detail button
Search and filter
Above the table you have tools to find what you need fast:
- Search by name, ID or any visible data.
- Status: Cancelled, Completed, On hold, Payment pending, Refunded, Failed or In process.
- Advanced Filters:
- Shipping type (Pickup / Delivery / All)
- Payment method
- Date range (From and To)
- Min and max total
- Click Clear filters to see all orders again.
- Adjust Rows per page to your taste.
The incoming order pop-up
When a new order arrives, a floating window opens with:
- The title "Incoming order!".
- A message inviting you to view details or print.
- Two buttons: View details and Print.
- A sound alert (configurable).
If automatic printing is on, the receipt will come out of the printer on its own.
Order detail
Click View detail to open a window with everything:
Customer details
- First name and last name
- Phone
- Address, city and zip code
Order details
- Products with price, quantity and subtotal.
- Ingredients and No ingredients (if the customer specified them).
- For how many people (when applicable).
- Customer Comments.
- Delivery (when shipping).
- Order notes.
Available actions
Depending on the order status you'll be able to:
- Process order — mark it as In process (you're preparing it).
- Complete order — mark it as Completed (delivered).
- Cancel order — mark it as Cancelled.
- Print order — print the receipt manually.
Add an order note
Inside the detail you can write a private note (e.g. "Customer picks up at 7pm") and press Send. The note is saved to the order and visible to the whole team.
Order statuses
| Status | What it means |
|---|---|
| Payment pending | The customer hasn't paid yet. |
| In process | You're preparing it. |
| On hold | Paused waiting for something (stock, confirmation…). |
| Completed | Delivered to the customer. |
| Cancelled | The order was voided. |
| Refunded | The customer was refunded. |
| Failed | Something went wrong with the payment or processing. |
Common payment methods
- Cash (
codin WooCommerce) - Bank transfer (
bacs) - Cheque (
cheque) - Card terminal (
other_payment) - Test payment (
wpfi_test) — for test environments only.
If the method isn't recognized, it shows as NA.
Daily tips
If you open NOTIWOO in multiple tabs or devices, all of them get the alert. To avoid printing twice, keep automatic printing on only on the device connected to the printer.
Before starting your shift, click the test-sound button in Settings → Notification sound to confirm the device volume is right.
